Asset Groups on CUBIQ Dealer Services

The Asset Monitoring application now includes a simple asset grouping feature where an individual user can assign assets in their company equipment list to a custom group tag.

The grouping function assigns a unique tag to an asset serial number based on the criteria selected by the user.

The asset list view in the Asset Monitoring application provides simple filtering tools that can be used to identify and sort assets based on dynamic properties (except for location).

 

Asset Group Feature Rules

The Asset Groups are:                 

  • Static. Dynamic groups that add and remove serial numbers based on changing asset characteristics such as location, hours, health status, etc. are not supported at this time. 
  • Unique to each individual user. They cannot be created and shared with other users of the same company.

An asset can be assigned to one (1) group only. 

 

Using Asset Groups - Feature User Interface Explained

 

Once the Asset Group(s) have been set up, they are viewable and filterable via the Asset Group column in the Asset Monitoring application.  (See step-by-step instructions below.)

1.    Click the dropdown filter dialog box under the Asset Group column title to show the available asset groups to view.

2.    When selecting an Asset Group to view, the search results filter to the individual group. Only a single group or all assets can be selected to be viewed at any one time.

Note:  Viewing multiple asset groups simultaneously is not possible.

TIP! The filter rules in the other columns of the table are still enforced when an asset group is used. If you select an asset group and see no results check to see if filters are set in any of the other columns. To clear the filters, click the circular X at the top left of the Asset List table.

Step-By-Step Instructions

The Asset Group Actions button in the Asset Monitoring app provides the configuration and setup workflows to:

1.     create new group tags

2.     administer asset membership from a specific group 

3.     remove an asset from the asset group​​​​​​​

​​​​​​​At any time after the group is set up, you can add or remove assets from the group, so don’t worry about adding all assets at one time.

Note: An asset can only be assigned to one asset group at a time. If you try to add an asset that is already part of an existing group to a new or different group, you will be prompted to confirm you wish to change the group assignment.

Create a New Asset Group

There are two options to creating an Asset group:

1.     Create the Group first, then add the assets

2.     Select the Assets first, then create the Group

Option 1: Create the Group 1st and then add the assets

1.    Click the Asset Group Actions button and select Create new asset group

2.    Enter an Asset Group Name and click Next

3.    Expand the Asset ID drop down list, select the Asset IDs you would like to add to the Asset Group and click Create Group. You will receive a toast message indicating the group has been created.

TIP!  What's a toast message? It is a small message that shows up in a box at the top or bottom of the screen and disappears on its own after a few seconds.

Option 2: Select the Assets first then create the Group

1.    Click the check mark box(es) on the left side of each row of the Asset (from Fleet table view) to select the assets you want to add. ​​​​​​​​​​​​​​

2.    Click the Asset Group Actions button and select Create new asset group

3.    Enter a group name and click Next.  You will receive a toast message indicating the group has been created and the asset was added.

4.    Click Create Group.  You will receive a toast message indicating the group has been created and the asset was added.

TIP!  To quickly select a group of assets, use the filters along the top of the columns to set your parameters and then click the tick box at the top to select all assets.

 

Add Assets to an Existing Group

1.    To add assets to an existing Group, select at least one asset you would like to add by clicking the check box on the left of the asset list.

2.    Click Asset Group Actions and select Add to Asset Group, select Group Name

3.    Click Save. ​​​​​​​You will receive a toast message confirming the new Assets have been added to the Group.

TIP! You can add additional assets by expanding the Asset ID field and selecting additional Asset IDs.

 

Changing an Asset from one Group to Another

You can also reassign an asset from one Group to another.  

1. To move the asset from one group to another, follow the same process to add an asset to a new group.

2.    After selecting the group you wish to assign the asset to, click Save

3.    You will be asked to confirm that you want to reassign the Asset to the new group.  If you’re sure, click Confirm.  Note:  you cannot assign an asset to more than one group at the same time.

Remove Assets from an Asset Group

1.    Similar to the process of adding assets to a new or existing group, select the Assets you wish to remove, click Asset Group Actions and then Remove from Asset Group.

2.    You will be asked to confirm that you wish to remove the Asset.  After you’ve reviewed the asset list is accurate, click Remove.
